Receiving inspection should establish what arrived, in what observable condition and where it will be placed next. It is not the same as functional acceptance of the equipment. Prepare the receiving plan before delivery so package identification and condition evidence are not lost during unloading or transfer into storage.

MATCH PACKAGES TO THE SHIPMENT RECORD

Compare package identifiers and quantities with the approved packing information. Record missing, additional or unidentified items rather than making assumptions about their contents. Large systems may arrive in several consignments, so distinguish an incomplete delivery from a package that is simply scheduled for a later shipment.

RECORD CONDITION BEFORE UNPACKING

Use the receiving procedure to document visible condition and any indicators supplied with the shipment. Photographs should show both the package identity and the observation clearly. Avoid describing an indicator as proof of internal damage unless the relevant evaluation supports that conclusion. Any unsafe condition must be assessed by authorized personnel before handling continues.

CONTROL UNPACKING AND PRESERVATION

Follow the supplier's handling, unpacking and storage instructions. Some protective arrangements are intended to remain in place until installation. Identify which materials should be retained and how opened equipment will be protected afterward. Heavy lifting, rigging and stability decisions require qualified planning; a receiving checklist does not replace those procedures.

MANAGE DISCREPANCIES PROMPTLY

Assign a responsible contact for discrepancies and retain the supporting evidence. Check the applicable contract and carrier process for notification requirements, without assuming a universal reporting deadline. Keep the equipment's location and status visible so material awaiting review is not inadvertently installed or separated from its identification.

FREQUENT QUESTION: DOES A SIGNED DELIVERY RECORD CONFIRM PERFORMANCE ACCEPTANCE?

The meaning depends on the agreed documentation. Clearly distinguish receipt, condition review and contractual acceptance so a routine receiving record does not create an unintended interpretation. Refer contractual questions to the responsible project team.

PRE-ARRIVAL CHECKLIST

Confirm the package list, receiving area, handling plan, storage requirements and escalation contacts. Arrange access to the required instructions before the vehicle arrives. A prepared receiving team can preserve evidence without confusing delivery completion with commissioning approval.
